  • Overview

    The Executive Assistant will perform administrative and office support activities for the CEO and CFO as well other executives. Candidates must be polished and professional, show initiative and enthusiasm for administrative work, and have excellent attention to detail. Duties may include fielding telephone calls, receiving and directing visitors, organizing and scheduling calendars, making travel arrangements, planning meetings and events, and creating spreadsheets and presentations. 

    Key Responsibilities

    • Overseeing a broad variety of administrative tasks for our C-Suite including managing an active calendar, arranging travel plans, processing expense reports, providing team support and other duties as needed
    • Planning and managing meetings; participating in meetings as requested; preparing and distributing notes
    • Ensuring that the CEO is prepared for each day with agenda, meeting prep and a clear sense of priorities
    • Ensuring the CEO’s schedule is followed and respected
    • Successfully completing projects under time pressure; meet deadlines consistently and reliably
    • Keeping current business and personal contact lists
    • Receiving, screening and routing incoming calls
    • Exercising independent judgment and discretion regarding confidential matters
    • Demonstrating consistently positive interpersonal interactions with internal teams and external partners
    • Representing our C-Suite to both internal and external constituents with polish and professionalism
    • Assist in managing special projects
    • Assist in other roles/activities as assigned

    Key Qualifications

    • Minimum 5 years as an Executive Assistant supporting multiple executive level leaders
    • Strong work tenure
    • High School Diploma or equivalent, College Degree preferred
    • Expert level written and verbal communication, time management and organizational skills
    • Ability to anticipate needs with initiative and enthusiasm while prioritizing conflicting deadlines
    • Must be highly proficient in Outlook, Excel and Power Point and proficient with Apple product suite
    • Demonstrated proactive approach to problem-solving with strong decision-making capability
    • Maintain a flexible, helpful, can-do attitude with energy and enthusiasm
    • A high level of self-awareness, integrity, emotional maturity and diplomacy are a must
